Administrative Assistant

Job Description:
Under the direction of the Chief Procurement Officer, prepares and facilitates the approval process for board documents; maintains and archives purchasing files; proofreads, formats, and prepares solicitation packages for internal approvals; advertises and posts Pace bid opportunities online; facilitates the addenda process for solicitations; assists Department Managers with monthly, quarterly and annual reports; assists buyers with facilitating internal contract award approval processes, including approval process for board approved award recommendations and preparation of contracts for the Chief Procurement Officer or Executive Director execution; develops electronic/paperless processes to improve work flow as required; answers phone calls and addresses vendors questions or directs them to the appropriate Pace staff; supports buyers during public bid openings and other business meetings; types correspondence; runs reports in Oracle as required; conducts internet research; and performs other duties as assigned or required. Works cooperatively with the other Administrative Assistant for the Chief Procurement Officer to support the department

Qualified candidate must have a high school diploma or equivalent, some college is preferred. Must have two to three years of Administrative Support or Executive Assistant work experience with a good work history including excellent attendance, basic knowledge of procurement process and/or prior experience in a corporate purchasing environment is a preferred. Must possess advanced competence in Microsoft Outlook; Microsoft Word; intermediate/advanced competence in Microsoft Excel; advanced competence in Adobe Professional; and intermediate/advanced competence in Microsoft PowerPoint, knowledge of an ERP system, preferably Oracle is preferred; must have demonstrated ability to navigate the internet and maintain the Procurement website. Must be organized and have the demonstrated ability to prioritize work in order to meet tight deadlines.
