Job Description:
Under the direction of the Manager, Chicago Paratransit Contracted Services the Operations Administration, Taxi access Program (TAP), the Operations Administrator II-TAP is responsible for processing payments and invoices primarily for the Taxi Access Program (TAP) and assist with various Pace paratransit programs and projects requiring excellent math aptitude, analytical skills, and attention to detail. This position assists with administering Pace paratransit programs and projects including ADA Paratransit services, local Dial-A-Ride programs, local coordinated paratransit services, and Rideshare projects. Essential functions include:
- Reconciling TAP invoices with Pace database system, processing contractor/vendor payments and invoices in a timely manner. This includes confirming accuracy of data by generating multiple service data reports and conducting a detailed analysis.
- Performing efficient and accurate job functions requiring the use of the various software programs utilized by Pace.
- Monitoring vendor Purchase Order balances and adjusting as needed to process payments timely.
- Enrolling and terminating customers in subsidy programs including issuing smart card or current mechanism for access to subsidy.
- Preparing daily, weekly, monthly, and annual program reports. Assisting with program audits and budget development.
- Answering service inquiries, composing and disseminating information, and communicating with internal and external customers, including local service sponsors, contractors, public officials, public and private services agencies, and other Pace departments.
- Providing support for daily operation of service as required, including unexpected occurrences.
- Traveling to Pace project sites within the six-county RTA region is required. This position is subject to random drug and alcohol testing.
- Performing other duties as assigned.
Qualifications
Education:
Must have a high school diploma or equivalent. Associate’s degree in accounting, Finance or related discipline or equivalent is preferred.
Experience:
Must have at least three (3) years of experience in basic accounting practices, including account management, and invoicing processes, or similar experience with a good work history is required.
Proficiencies:
Experience working with accounting software such as QuickBooks, Sage or Oracle for government entities is preferred.
Must be proficient in the use of computer software specifically, Microsoft Office suite applications (Outlook, Word, Excel, and PowerPoint). An intermediate skill level for Microsoft Suite Excel and Microsoft Word is required.
Experience with Trapeze, Oracle and Apex databases and Adobe Docs is preferred.
Must have excellent written and verbal communication skills. Attention to detail, strong math and analysis skills, organizational skills, with the ability to multi-task, and prioritize, are required.
Must be able to meet deadlines and adapt to a dynamic environment. Must be open to work schedule changes as needed to meet public transit service demand.
Must have a valid state of Illinois, Wisconsin or Indiana driver's license and a good driving record.
Physical Requirements:
Must be able to sit for extended periods of time, type, and attend virtual and in person meetings. Must be able to lift and carry 25 pounds.
Working Conditions:
Work is performed in an office environment and the candidate will be required to occasionally travel to Pace project sites within the six-county RTA region. Travel outside of the region may be required.
This position is eligible for a hybrid work schedule after a 6-month job introduction period.
This position is subject to random drug and alcohol testing.
Salary:
Full Salary Range: $50,467-106,032
Midpoint: $78,250
Starting Salary Range: $ 50,467 to $64,358.
