Job Description:
Under the supervision of the Superintendent of Transportation or their designate, this role provides essential and often confidential administrative support for the Transportation and Safety sections. Key responsibilities include maintaining records and files related to employment physicals, attendance, accidents, uniforms, seniority, and address lists. The role also compiles data for and prepares annual performance evaluations for bargaining unit employees and assists in processing passenger complaints. Responsibilities include:
- Maintaining accurate and organized records related to employee files, including physicals, attendance, accidents, and seniority lists.
- Assisting with the preparation of annual performance evaluations and ensure timely completion.
- Fielding and logging passenger complaints.
- Managing petty cash and serving as an insurance liaison for the Division.
- Providing relief for switchboard operations as required.
- Processing and entering invoices into Oracle, as well as other duties as assigned.
Qualifications:
Education: High school diploma or equivalent required; post-secondary education in administration or a related field is preferred.
Experience: Minimum of 2 years of experience in an administrative or secretarial role, preferably in transportation, logistics, or a related field.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Oracle or similar financial/HR systems.
Communication Skills: Excellent verbal and written communication skills with the ability to handle confidential information discreetly.
Organizational Skills: Strong attention to detail, time management, and the ability to handle multiple tasks in a fast-paced environment.
Problem-Solving: Ability to work independently, prioritize tasks, and resolve issues efficiently.
Customer Service: Strong interpersonal skills with a customer-focused attitude, both internally and externally.
This position is based in a typical office setting, with standard office equipment, including a computer, phone, and desk space. The typical workday is conducted over an 8-hour period and can begin as early as 7:00 a.m. and end no later than 6:00 p.m., Monday through Friday. Work is infrequently conducted inside of the garage where the candidate may be exposed noise, odors, and temperature fluctuations typical of a maintenance or transportation facility. This position requires the lifting, carrying, pushing, or pulling of materials of up to 10 pounds.
This position is **not eligible** for hybrid or remote telecommuting.
Salary range: $40,983-$76,986
Midpoint: $58,984
Starting salary range: $40,983-52,000
The final salary will depend on the candidate's qualifications. Pace provides full pay ranges so candidates can consider their growth potential.
